Interlibrary Loan

The Interlibrary Loan (ILL) service enables UC students, faculty, and staff to borrow materials from other libraries that are not available at the UCI Library.

Who may use Interlibrary Loan?

Interlibrary Loan (ILL) services are available to all UC faculty, staff, and currently registered students. A valid UC Irvine library card is required. Requests for instructional and research purposes only will be honored. All non-UC users should contact their local public library, workplace library, or the ILL unit of their own college or university for interlibrary loan privileges.

Non-UC users with a valid UC Irvine library card may request UC Irvine materials which are at the Southern Regional Storage Facility (SRLF.) SRLF is a high-density library shelving facility on the UCLA campus. Please see Interlibrary Loan staff for assistance.

What can I request on Interlibrary Loan?

Books, journal articles, and other materials, which are not owned at UCI or are missing or checked out, may be requested.

Materials that are on Course Reserves may not be borrowed through ILL.

How long does it take to receive materials through Interlibrary Loan?

Once you have submitted your ILL request via the UC e-Links or Request online form, it is entered into the electronic ILL system immediately. The average time to receive materials supplied by UC libraries is 3 to 10 working days. Libraries outside of the UC system may take up to three or more weeks to provide materials. It’s very important to plan ahead when submitting your requests; the time it takes to receive your material depends on many factors.

How much will this cost me?

Free loans and copies are available from other UC’s, Stanford (excluding Lane Medical Library), Center for Research Libraries, and some reciprocal academic loan partners. Fees for book loans and copies from schools that charge UCI are subsidized up to $50 per Interlibrary Loan transaction for UC Irvine faculty, staff, and graduate students. Requests by Honors undergraduates and materials for Senior Theses are also subsidized. Book loans and copy fees from schools that charge UCI are passed along to undergraduate and Extension students. When a fee would be incurred, requests will not be placed without your approval. You are responsible for any charges for overdue and billed books, which, if charged by the lending library, may include a non-refundable billing fee for books which are returned late.

Are there any restrictions on Interlibrary Loan materials?

The lending library, not the UCI Library, determines the conditions regarding the use of their materials.

  • Some materials may be restricted to “Library Use Only.”
  • Some items may not be photocopied and must be used in the Langson Library Special Collections & Archives Department during its public service hours.
  • Items borrowed on Interlibrary Loan cannot be placed on Course Reserves for UCI classes. An exception: Material stored at the UC SRLF (Southern Regional Library Facility) or NRLF (Northern Regional Library Facility) may be placed on Course Reserves.

How do I return an ILL?

All borrowed materials should be returned on or before the due date to an ILL desk or the Loan Desk at any of the UCI Libraries. Please leave the bookbands on the items so they are clearly marked as ILL materials. Failure to return material on time may result in your Libraries privileges being blocked until you return the items and pay any fines charged by the lending library.

What happens if my ILL materials are overdue?

You are responsible for your ILL materials. Failure to return ILL material on time may result in your Library privileges being blocked until you return the items and pay any fines charged by the lending library. Users are charged for seriously overdue or lost items. Your failure to return materials on time also jeopardizes our borrowing privileges with other libraries.

Why was my ILL request cancelled?

We will notify you by email if your Interlibrary Loan request had to be cancelled. There are many reasons why an ILL request might be cancelled. The following are the most common reasons:

  • Available at UC Irvine Libraries or on Course Reserves. The ILL item requested is owned by and is available at one of the UC Irvine Libraries. If the item is missing or you discover the UCI copy is not available, please resubmit your request with a note to us. Please note ILL does not order materials that have been placed on Course Reserves for UCI classes.
  • Non-circulating. The item is non-circulating (cannot be checked out) and is unavailable for loan from the owning libraries. Materials that often cannot be obtained include:
      • Periodical volumes, particularly those less than five years old
      • Reference books
      • Non-print material such as videotapes, CD’s, sound recordings
      • Extremely old books
      • Rare or valuable material housed in Special Collections departments
      • Genealogical material
      • New books, especially “popular reading”
  • Too new. The item has been recently published or acquired to be circulated by the lending library. We suggest you resubmit your request at a later date (one to two months is recommended).
  • Not found as cited. ILL was not able to find the item as cited in the original request. We suggest that you verify the citation, confer with the ILL staff, and initiate a new request if the item is still needed.
  • “Need-by” date. If you specified that you need your ILL material by a specific date and if the deadline cannot be met, ILL will notify you and cancel the request. We suggest you initiate a new request if the item is still needed.

Submit Interlibrary Loan Requests

ILL requests can be placed electronically using the following methods:

Before requesting an item through interlibrary loan ( ILL), make sure it is not available at any UCI library by searching ANTPAC .

California Digital Library (CDL) Request

Use the CDL Melvyl Catalog to begin searching and use the CDL Request feature to place your interlibrary loan order. CDL Request enables UC students, faculty, and staff to obtain items which they have located in the CDL's Melvyl Catalog. Use CDL Request for the fastest service with the shortest turnaround time. Items located at another UC campus will be delivered to the UCI library of the user's choice. Registered Document Delivery users can also place requests for UCI-owned items through this service.

UC-eLinks (Citation Linker)

Available in CDL-licensed databases and also as stand-alone forms, UC-eLinks, also know as Citation Linker, enables users to move from a citation for an article or book to the item itself. If the item is available online, UC-eLinks provides a link to the electronic version. If it is available in print, UC-eLinks searches for a UC library that owns it (in the case of journal articles, it searches for the journal in which the article appears), then links to CDL Request, from which users can place an Interlibrary Loan or Document Delivery request.

Can I check on the status of my requests via My ILL Requests?

Log in to My ILL Requests to determine the status of a request of the due date for borrowed materials. Your account in My ILL Requests will display the status of the interlibrary loan request. The status information includes: due date, in process, received, returned, recalled, and renewal pending. User can request renewals and cancel requests online via My ILL Requests.

My ILL Requests information bookmarks are available at all Libraries public service desks.

How will I know when my requests have arrived?

Users are notified by email when ILL material is available for pickup at the Interlibrary Loan desk of the Langson, Science or Grunigen Medical Library. Your account in My ILL Requests will display the status of the Interlibrary Loan request after it has been processed.

Document Delivery Service will deliver items received through Interlibrary Loan to the department offices of eligible UCI faculty, graduate students, and administrative staff, unless the material is restricted to use in the library.

What is Desk Top Delivery (DTD)?

Electronic desk top delivery is a service provided when available to ILL users. Journal article requests are scanned and posted to a secure web server. You will be notified via email when your article has been placed on the web server for you to retrieve. Copyright applies to the materials posted to the web server.

How long can I use my ILL materials?

The lending library sets the loan period and may also set special conditions on the use of ILL materials. In general:

  • Materials may be borrowed for at least 2 weeks.
  • UCI faculty and graduate students may use most UC materials for one quarter.
  • Photocopies are yours to keep.

How do I renew ILL items via My ILL requests?

Renewals may be requested before the due date. Use My ILL Requests to place renewals. If the items are not listed in My ILL Requests, please email or call the phone number on the book band of the material you want to renew. We need your name and the “ILL#” from the book band to request your renewal. The lending library decides how long to extend the due date. Please note they may refuse to renew the material.

What if I can't connect to My ILL Requests account?

Did you get a “server/service not found” message?

You are now required to access My ILL Requests using VPN software when connecting from off-campus to ensure the privacy and security of your ILL transaction information. Please connect to My ILL Requests using either WebVPN or the Cisco VPN client. For more information, see Connect from Off-Campus.

If you are attempting to access My ILL Requests from a computer on the campus network or a computer with a UC IP address and you encounter problems, please contact a UCI Library Interlibrary Loan Department.
